The event is more than the venue
A useful plan connects the invitation, guest count, dress guidance, venue, food, arrival, return transportation, and any overnight stay. A beautiful room does not solve a confusing check-in or a ride home that nobody owns. Start by defining the experience the chapter wants guests to have, then test each booking against it.
- Define the event format and whether guests travel.
- Ask who approves each commitment under your campus and national-organization rules.
- Name the person responsible for each guest-facing detail.
Choose the scope before seeking quotes
An on-campus evening, a nearby venue, and an overnight trip create different work. Write down the date window, approximate member and guest count, accessibility needs, budget range, and the non-negotiable parts of the evening. Providers can respond more accurately when those inputs are consistent.
