Choose a sorority formal destination guests can actually navigate

A destination is a good fit when guests can understand how to arrive, participate, and return—not simply when its photos look exciting.

Keep approvals, guest needs, and provider terms in the same plan.

Compare the whole journey

Build a shortlist using departure point, travel time, date window, weather exposure, accommodation options, and the kind of formal evening you want. A destination with a strong venue but difficult arrival times may add avoidable friction for guests.

  • Map the likely arrival and departure windows.
  • Identify at least one feasible venue type and lodging area.
  • Check whether evening transportation has a clear plan.

Research before naming a favorite

Ask actual venues and lodging providers about capacity, accessibility, group terms, and dates. Do not treat inspiration photos as evidence of availability. Keep each source and the date you checked it beside the shortlist so the next committee can see what is confirmed and what remains a question.

Start with the guests’ departure points

Before choosing a city, map where members and invited guests would start, whether they can arrive the same day, and who would need a room. A destination that is easy from campus may be hard for guests arriving from elsewhere. For each option, record a realistic arrival window, likely lodging area, route to the event, and return option. Ask only for the travel information the committee needs at this stage.

  • List origins as regions rather than private addresses.
  • Mark same-day and overnight participants separately.
  • Include accessibility needs in provider questions.

Make one journey card for each finalist

Write the proposed trip in order: leave, arrive, check in, reach the venue, attend the formal, return to lodging, and travel home. Label each leg confirmed, quoted, or unverified. If a hotel is available but the group has no workable late return route, the destination is not ready to select. Share the card with someone outside the committee and ask where they would go at every step.

Compare terms behind the scenery

Request the same facts for every finalist: venue layout and capacity, accessible routes, lodging group terms and release dates, transport capacity and pickup locations, taxes and fees, and cancellation exposure. Record the provider, date checked, and next decision owner. A photo or marketing page establishes neither availability nor a chapter-approved booking.
